Keep your myID secure

Your myID is unique to you and gives you access to a range of government online services on behalf of your business or organisation, such as Workforce Australia Online and Apprenticeships Data Management System.

You are responsible for your myID and it’s important that you take these steps to protect it and your personal information:

  • Use a personal email address when setting up your myID – This ensures you have ongoing access. You can update your email address in the myID app anytime.
  • Protect your personal email account by using a strong and secure password, which is different to your other online accounts and subscriptions. Do not re-use your email password anywhere. Use multifactor authentication as a second form of verification. Strong protection of your email account will help prevent hackers from stealing your identity and your other online accounts.
  • Don't share your myID and don’t provide your myID log in code to another person. Do not allow anyone to login on your behalf. Sharing provides others with access to your personal data across online services, especially if your myID is connected to your myGov account.
  • Protect your identity documents – Avoid storing images of identity documents in emails and be mindful who you share these with. If you have sent these over email (for example to a bank) make sure you delete them from your sent items.
  • Keep your smart devices secure – Enable built-in security features in your device such as fingerprint or face recognition, and don't leave your device unattended. If your device is lost or stolen, report it straight away.
  • Check your myID setup history regularly – Within the myID app, you can view a summary of each time your myID has been set up on a device. If you find a device or record you don’t recognise, report this immediately by contacting the myID support line.
  • Stay on top of your cyber hygiene Run software updates and keep antivirus software up-to-date. Always be careful when clicking on links and providing personal identifying information.
  • Report suspected inappropriate access – If you suspect someone has inappropriately accessed your personal information in myID, report it straight away.

Maintain your business authorisations

If you are managing a business or organisation, take these additional steps to maintain authorisations and access:

  • Keep RAM up-to-date – Regularly check and update authorisations in Relationship Authorisation Manager (RAM) and other systems such as eSAM.
  • Remove access when staff leave – Remove authorisations in RAM as soon as an employee leaves or access is no longer required. If eSAM is also used, disable their account.
  • Check employees have the right authorisation for their role – In RAM, you can modify the government agencies they need access to, and the businesses they can act on behalf of. In eSAM, check and update the access roles to only what they need to perform their duties.
